PDF markup and review

Estimateria vs Bluebeam Revu for schedule takeoffs

Bluebeam Revu is the general PDF markup, measurement and review tool most of construction already has, and it is very good at that job. Estimateria is narrower and deeper: it treats the door, hardware and finish schedules as data, puts them in a grid keyed by door mark, prices the hardware, and keeps every row tied to the page it came from. It now also does the measuring side (areas, lengths, counts, volume, per-region scales, cutouts, clouds, stamps, a Markups List that exports to Excel) and carries the measurements on into conditions, a running bid and a recap. Revu still has far more markup breadth, real document compare and overlay, signatures, forms, Studio and Quantity Link. Plenty of teams will keep both.

What Bluebeam Revu is

A Windows desktop application with web and iPad companions, built around marking up and measuring PDFs. Its strengths are the Tool Chest, the Markups List with custom columns, a very wide measurement set including Dynamic Fill and Legends, document compare and overlay, and Studio for live sessions and cloud projects. Quantity Link puts measurements into Excel cells. Pricing and assemblies happen outside it.

What Estimateria is

A browser-native estimating workspace, with an early desktop app for Mac and Windows: read the set, pull the door, hardware and finish schedules off the pages into an editable grid, measure on a calibrated plan, match and price the hardware, and carry it all into a running bid and a recap. Markups are stored as rows in page space with versioned operations, so two people can work a sheet and see each other doing it.

How the same job goes

One door schedule on a set of architectural PDFs, from the drawings to a priced, exportable list.

In Bluebeam Revu

  1. 1Open the set in Revu and calibrate the scale, sheet by sheet or across several at once.
  2. 2Set up a profile and Tool Chest so the markup tools match the trade you are taking off.
  3. 3Measure on the plan — areas, lengths, counts, volumes — and let the Markups List collect them.
  4. 4Add custom columns to the Markups List for material and price, and organise by subject.
  5. 5Push the quantities to Excel with Quantity Link, then price them in the spreadsheet.
  6. 6For the door schedule itself, read the table on the sheet and type it into the workbook.

In Estimateria

  1. 1Upload the set. Every page is classified locally, so the schedules and floor plans are already located.
  2. 2Select the schedule on the page; its rows land in the grid, one per door mark.
  3. 3Review the rows against the sheet. Unusual values are flagged and each row opens its page.
  4. 4Calibrate the plan (or let the scale be read from the title block) and measure areas, lengths, counts and volumes.
  5. 5Give measurements a condition so they carry a cost, and watch the running bid and the Markups List update.
  6. 6Hardware sets break into items, matched and priced from suppliers, selected in the grid.
  7. 7Export the Markups List to Excel, the marked-up sheets to PDF, or the whole estimating package.

Stay with Bluebeam Revu when

  • Markup breadth decides it: digital signatures, Bates numbering, batch slip-sheets, forms, custom stamp libraries.
  • You need Dynamic Fill, or a live two-way link from measurements to Excel cells (Quantity Link).
  • You work across every trade and document type and want one general-purpose PDF tool.
  • Your reviewers already live in Studio Sessions, with outside guests, and you do not want to move them.
  • You need a visual compare and overlay of addenda today, or a Tool Chest shared across the office.

Choose Estimateria when

  • Your takeoff is the door, hardware and finish schedules, and you want them as rows, not as markups you transcribe.
  • You want each hardware set broken into items and priced from the same grid.
  • You want measurements to carry a cost: conditions, assemblies, quotes and a recap in the same place.
  • You want to search the whole set and ask questions that answer with a link to the page.
  • You want the takeoff in the browser on any machine, with no install needed, or the desktop app for local page rendering.
  • You want to see where your colleague is working on the sheet while they are doing it.

Side by side

Estimateria compared with Bluebeam Revu
Feature Estimateria Bluebeam Revu
PDF markup breadth Partly

Shapes, text boxes, callouts, notes, highlights, revision clouds, cover (whiteout), image and link markups, six dynamic stamps, layers, a command palette and snapping. No digital signatures, Bates numbering, forms, custom stamp images or batch tools, and the PDF's own text cannot be edited.

Yes

The deepest markup toolset in the category, with Tool Chest and profiles.

Area, length and count measurement Yes

Per-page calibration or a scale read from the title block; areas, lengths, perimeters, counts, cutouts and dimensions, all computed on the server and saved one change at a time.

Yes

A core strength, including Dynamic Fill, volume, depth and Legends.

Volume, depth and per-region scales Yes

A volume tool (area times depth) and viewport regions that carry their own scale on a sheet with several drawings.

Yes

Volume and depth measurement, and viewports with their own scale.

Dynamic Fill and Legends No

Conditions carry a colour and hatch, the Conditions tab is the legend, and the PDF export gets a legend page. Nothing fills an enclosed area automatically.

Yes

Dynamic Fill selects an enclosed area for you; Legends collect what was measured.

Markups List and export Yes

Columns, filters, group-by and formula columns, exported to XLSX or to a flattened PDF.

Yes

The Markups List with custom columns, summaries and export.

Tool Chest Partly

A saved-tool chest that lives in the browser. It is not shared with colleagues or other devices.

Yes

Tool Chest with profiles, shareable across the office.

Schedule becomes rows keyed by door mark Yes

Door, hardware and finish modules extract the table and link rows by mark.

No

Not designed around schedule rows; you build the table from markups or type it into Excel.

Hardware set breakdown and pricing Yes

Sets split into items you link, price from a supplier price library and select.

No

No cost database of its own; pricing is handed to a spreadsheet.

Cost, assemblies and a recap Yes

Conditions, assemblies, labor rates and quotes feed a running bid, and a recap compounds contingency, escalation, overhead, profit and bond, with alternates, allowances and unit prices.

No

No assemblies or bid recap; quantities are priced outside Revu.

Live link to Excel Partly

The Markups List exports to XLSX and the estimating package is generated as a workbook. Not a live two-way link.

Yes

Quantity Link connects measurements to cells in a workbook.

Where it runs Yes

In a browser on any machine, plus an early desktop app for Mac (Apple silicon) and Windows that renders pages locally. Not an offline tool, and no native iPad app.

Partly

Desktop is Windows; Revu for Mac ended in 2023. Web and iPad apps cover Mac, though the web version cannot move or resize measurement markups.

Scanned drawings Partly

Scans open, mark up and measure like any page. Reading their text (for search and schedule extraction) needs the optional OCR add-on in the desktop app.

Yes

OCR of scanned sheets is built in.

Cited answers about the set Yes

An assistant answers from your indexed pages, with citations that open the page, and can edit the grid on request.

Partly

VisualSearch and Intelligent Search across Studio Projects; Max adds MCP so your own assistant can drive it.

Revision and addenda overlay Partly

Sheets of a reissued set are paired by sheet number, with your takeoff cost inside each changed area. It reads text, not lines, and there is no visual overlay.

Yes

Compare Documents and Overlay Pages, with Smart Overlay on Max.

Where a quantity came from Yes

Every row and accepted detection carries its page, region and who produced it.

Partly

Quantities stay traceable to the measurement that made them; there is no record across revisions.

Two people on one sheet Partly

Presence avatars, live pointers, selections and follow mode pushed over a websocket; pinned comments with mentions and assignment, an in-app inbox and an activity feed refresh by polling. Colleagues must belong to your organization.

Yes

Studio Sessions with real-time markup, chat, guests and host-controlled permissions.

Covers every trade and document type No

Door, hardware, finish and millwork.

Yes

General purpose across construction.

What Estimateria does not do

If one of these decides the job for you, Bluebeam Revu is the better answer and we would rather you knew now.

  • No visual revision overlay or document compare. Reissued sheets are paired by number with a cost impact, from text only. This is the gap Revu users will feel first.
  • No digital signatures, Bates numbering, batch slip-sheets, forms or Dynamic Fill, and no custom stamp library. The six stamps are fixed.
  • No live two-way Excel link in the way Quantity Link works; exports are files.
  • The Tool Chest stays in one browser and is not shared. Custom columns on the Markups List are not in the main workspace yet.
  • Live pointers and follow mode work on the drawing; comments, the inbox and the feed refresh by polling. There is nothing equivalent to a hosted Studio Session with outside guests.
  • Nothing works offline and there is no iPad application. The desktop app is early, and reading scanned pages needs its OCR add-on.

Common questions

Does Estimateria replace Bluebeam?

For a door, hardware, finish or millwork estimator, it can replace most of the day: reading the schedules, measuring the plan, keeping the trail back to the page, pricing and the recap. It does not replace Revu as a general document tool. Signatures, forms, Bates numbering, compare and overlay, and Studio are not matched, and the list above says exactly where.

Can I use both?

Yes, and many teams will. Review and mark up in Revu, take the schedules off and price them in Estimateria, and meet again in the workbook.

Do I need Windows?

No. Estimateria runs in a browser on any machine, and there is an early desktop app for Mac and Windows. Revu's full application is Windows only; Revu for Mac reached end of life in 2023 and Bluebeam points Mac users at the web and iPad apps.

What about addenda?

Revu wins this one today. It has Compare Documents and Overlay Pages, and Max adds Smart Overlay. Estimateria pairs a reissued set with the last one by sheet number and shows the cost of your takeoff inside each changed area, but it reads text, not lines, and draws no overlay; re-linking a quantity to its region across a reissued sheet is the work we think matters most and it is not done.

Is the markup editor really comparable?

On what an estimator uses on a plan it is close: calibrated shapes, counts, cutouts, volume, viewport scales, clouds, stamps, pinned comments, a Markups List with formulas and XLSX export, and a versioned save so two tabs cannot overwrite each other. On breadth it is not: signatures, forms, Bates and a shared Tool Chest are missing, and the table above says so.
